A rota in Excel or on paper costs hours every week: who is on holiday, who must not start early after a night shift, who has the required qualification, is every shift covered? And once it is posted, the phone calls start because someone wants to swap.
uttek Rota checks as you plan: rest period between two shifts, maximum working time per day and week, breaks, working days in a row, contracted hours, the shift type’s qualification, approved absences, staff preferences and the required cover per weekday. Conflicts are shown in colour in the rota and in a list – before publishing. The defaults follow the German Working Hours Act and can be adjusted to your collective agreement, works agreement or local rules.
After publishing, staff see their rota on the phone (web app) and as a calendar feed. They give away shifts, swap with colleagues or take open shifts, enter preferences and unavailability and request holidays – the planner decides with one click. Changes after publishing are marked. With uttek Connect, planned shifts go to uttek Time as target hours, staff and absences come from uttek HR and jobs from uttek Dispo.

Frequently asked questions
Does the rota follow working-time law?
The rules are preset to the German Working Hours Act: 11 hours of rest, at most 10 hours a day, breaks after 6 and 9 hours; plus maximum hours per week, working days in a row and an overtime warning. You adjust the values to your collective agreement, works agreement or local law. Breaches show up as an error or warning in the rota – the planner still decides and is responsible.
How do staff see their rota?
On the phone under “My rota” (web app for iPhone and Android, no app store) and from Pro as a calendar feed in their calendar app or Outlook. They only see published shifts; changes after publishing are marked, and an email can be sent.
Can staff swap shifts?
Yes. A shift can be offered to everyone, swapped with a specific person or taken as an open shift. By default the planner approves every swap; the rules are checked again afterwards. Approval can be switched off.
How are holidays and sickness handled?
Staff request holiday or time off in lieu, the planner approves. Sick notes are entered directly by the planner. Approved absences appear in the rota; scheduled shifts are flagged as conflicts and can be released on approval. With uttek HR, absences come in automatically.
What about data protection?
The software runs on your server. Roles control who sees what: staff only their own rota or the published team rota, team leads in Enterprise only their areas. A data export and erasure per person are built in; past shifts remain without a name for reporting. A retention period deletes old shifts automatically.
What do I need to run it?
Web space with PHP 8.2 or newer. The database (SQLite) is built in; MySQL/MariaDB is optional from Pro. A cron job is useful for reminders and the Dispo link.
Can I try the demo?
Yes, without sign-up. Every visit gets its own demo database with sample data (home care service, restaurant, retail), deleted after 24 hours.
How secure are logins and data?
Passwords are only stored as a secure hash; new passwords need at least 12 characters and are checked offline against a list of leaked passwords. Everyone can set up two-factor sign-in via an authenticator app (e.g. Google Authenticator, Aegis) with backup codes, and the admin can require it per role. After 5 failed attempts a login lockout with increasing delay applies; “forgot password” sends a single-use link valid for 1 hour. Optionally phone numbers, notes on absences and requests are stored encrypted with AES-256-GCM, with the key outside the web root. The “Security (status)” page shows all measures at a glance.
