In many small businesses quotes and invoices are written in Word or Excel: numbers are assigned by hand, totals recalculated, and which invoice is still open is noted on a slip of paper. Dunning, progress invoices or mandatory e-invoicing make this tedious at the latest.
With uttek Quotes & Invoices you write quotes with services from your catalogue, discounts, text and optional lines, and see the total immediately. An accepted quote becomes an order confirmation, progress or final invoice with one click. Invoices get a sequential number when finalised and cannot be changed afterwards; corrections are made by cancellation or credit note.
Payments – including early-payment discount or instalments – are booked against the invoice; open items, due dates and dunning levels with fees are visible at a glance. Small-business rules, reverse charge, XRechnung, recurring invoices for service contracts and the DATEV export for your tax adviser are built in. Via uttek Connect, customers from uttek Customers and billable hours from uttek Time go straight into the invoice.

Frequently asked questions
Is this a subscription?
No. You pay once and use the purchased version indefinitely. 12 months of updates are included; renewing afterwards is optional.
Are the invoices GoBD-compliant?
Finalised invoices receive a gap-free sequential number and can no longer be changed or deleted; corrections are made via cancellation or credit note, and every action is logged. You remain responsible for the compliance of your bookkeeping as a whole (process documentation, archiving, server backups) – the software does not replace a tax adviser.
Can I create e-invoices (XRechnung)?
Yes, from Pro: every finalised invoice can be downloaded as XRechnung (UBL XML), with routing ID for public-sector clients. The PDF is always available as well.
Does it work for small businesses exempt from VAT?
Yes. In the settings you choose the German small-business scheme (§ 19 UStG); invoices are then created without VAT and with the matching note. Switching to standard VAT later is possible at any time.
Can I pass my data to my tax adviser?
Yes. Invoice lists are available as CSV and invoices as PDF; in Enterprise the export produces a DATEV booking batch (SKR03). It is best to agree accounts and import once with your tax adviser.
What do I need to run it?
Web space with PHP 8.2 or newer. The database (SQLite) is built in; MySQL/MariaDB is optional. A cron job is useful for recurring invoices and due dates.
Can I try the demo?
Yes, without sign-up. Every visit gets its own demo database with sample data (trades business, agency, small business), deleted after 24 hours.
How secure are logins and data?
Passwords are only stored as a secure hash; new passwords need at least 12 characters and are checked offline against a list of leaked passwords. Everyone can set up two-factor sign-in via an authenticator app (e.g. Google Authenticator, Aegis) with backup codes, and the admin can require it per role. After 5 failed attempts a login lockout with increasing delay applies; “forgot password” sends a single-use link valid for 1 hour. Optionally customer notes are stored encrypted with AES-256-GCM, with the key outside the web root. The “Security (status)” page shows all measures at a glance.
