The tax office only accepts a mileage log if it is kept promptly, completely and in a closed form: every trip with date, odometer at start and end, destination, purpose and the business partner visited – and with no way of changing entries later unnoticed. Loose notes and spreadsheets quickly fail an audit; then the 1 % rule applies.
uttek Mileage Log locks every trip when it is saved. Corrections and cancellations are possible, but only as a separate log entry with a reason, user and timestamp – the old and the new state stay visible. The log is a hash chain (SHA-256): anyone changing something behind the program's back shows up immediately in the audit report. Mileage is carried forward without gaps per vehicle; gaps and late entries are flagged.
Drivers start a trip on the phone and finish it at the destination; business trips, private trips and trips between home and the first place of work are kept apart, private detours on a business trip are shown separately. For your tax adviser and the tax office there is the mileage log as PDF and CSV, the audit report and – from Pro – cost per kilometre, plus the comparison with the 1 % rule in Enterprise. With uttek Dispo, trip suggestions come straight from the planned jobs.

Frequently asked questions
Will the tax office accept the mileage log?
uttek Mileage Log implements the German tax authorities' requirements for a proper electronic mileage log: prompt recording, all mandatory details, a closed form with no unnoticed changes, corrections only when documented. Whether a log is accepted in an individual case is decided by the tax office – it also matters that it is really kept promptly and completely. If in doubt, talk to your tax adviser.
Can I correct or delete an entry?
Correct yes, delete no. A correction requires a reason and is logged with user and timestamp; the old and the new value stay visible. A trip recorded by mistake is cancelled – it stays in the log with the reason but no longer counts.
What about trips between home and work?
They are a trip type of their own. Store home, first place of work and distance for the vehicle – the log then pre-fills start, destination and mileage. Private detours on a business trip are shown separately with route and mileage.
Is the mileage log also available for uttek Dispo?
Yes, as an add-on module for €49 (same software, its own licence key). It is installed next to uttek Dispo and connected via the Dispo interface (API token): planned jobs turn into trip suggestions with destination, purpose and customer, which the technician only confirms with the odometer readings.
What do I need to run it?
Web space with PHP 8.2 or newer. The database (SQLite) is built in; MySQL/MariaDB is optional from Pro. A cron job is useful for reminders. No GPS tracker or OBD dongle is needed.
Can I try the demo?
Yes, without sign-up. Every visit gets its own demo database with sample data (trades business, sales/field force, self-employed consultant), deleted after 24 hours.
How secure are logins and data?
Passwords are only stored as a secure hash; new passwords need at least 12 characters and are checked offline against a list of leaked passwords. Everyone can set up two-factor sign-in via an authenticator app (e.g. Google Authenticator, Aegis) with backup codes, and the admin can require it per role. After 5 failed attempts a login lockout with increasing delay applies; “forgot password” sends a single-use link valid for 1 hour. Optionally home addresses, notes on vehicles, business partners and drafts (trips themselves stay unchanged because of the hash chain) are stored encrypted with AES-256-GCM, with the key outside the web root. The “Security (status)” page shows all measures at a glance.
